Insurance Eligibility & Check-in

The Problem: Your Staff Are Spending To Much Time Checking In Patients And Verifying Insurance Benefits

On a day-to-day basis your staff are spending a tremendous amount of time checking in patients and verifying their insurance benefits. While these processes are crucial to the success of your practice, they are consuming a significant amount of your resources and valuable time. Time that could be spent focusing on your patients and providing quality healthcare.

Our Solution — The Patient Kiosk

Our patient kiosk automates many of the costly and time consuming administrative processes straining the healthcare system today. From the patient to the payor, our patient kiosk and network provide a channel for two-way, HIPAA compliant communication and processing of healthcare transactions. By automating processes such as check-in and eligibility verification, we can create a more efficient healthcare experience for everyone involved.

Our patient kiosk has brought self-service functionality to the healthcare industry so that physicians can realize the same benefits other industries such as airlines, banks, and gas stations have been realizing for years. To achieve this, we are assisting healthcare providers by streamlining the patient check-in process with kiosks that automatically access the patient's eligibility and allow for payment of co-pays, outstanding balances and pre-payment all before the patient sits down in the waiting room.

Each insurance company has a different process for the physician to follow when checking eligibility. Each insurance company has a different card and some insurance companies even have a different piece of hardware that the physician must use to verify eligibility. The patient kiosk takes all those processes cards and hardware devices and aggregates them into one single process.

The technology is a universal kiosk that allows the insured, uninsured and self-pay patients to all use the same system. The kiosk reads magnetic stripe insurance cards and in the case of paper cards, the information can be entered manually through the touch screen.

The kiosk is designed to streamline business processes and facilitate secure access and transfer of data among patients, providers, payors and employers. Additionally, it provides a unique and attractive solution to the healthcare market by offering a solution that is:

  • low cost
  • easy to implement
  • fully secure and HIPAA compliant, and
  • quick in processing business transactions.

We understand that technology alone does not solve the problem. How technology is integrated and the incremental changes to the workflow of a practice determine the success of the product. The patient experience with our kiosk is similar to other experiences (for example, ATMs and airport check-ins), so it is comfortable to the patient. Our patient k product focuses first on providing an immediate financial return to the healthcare provider in addition to improving the overall patient experience.

Set-Up Process

Our Patient Kiosk set-up process requires these initial steps:

  1. Client completes a registration form.
  2. We perform necessary back-end setup and testing.
  3. Client ensures power and high speed internet connection is available in waiting room.
  4. We perform an onsite visit to ensure network is secure and stable.
  5. Client determines the location and display of kiosk machine.
  6. We install kiosks and trains staff.

Once these pre-install tasks have been completed, we have the ability to install the kiosk and make the application production ready within 10 minutes.

With our kiosk, the patient check-in process is simplified.

We are focused on low cost of entry and ease of use for both the staff and patients. One of our application guidelines has been that of normalizing the process. Basically we have found that our application must be very similar to other industry self-service applications such as banking, gas-stations, airlines and grocery stores in order for patients to feel comfortable with it; therefore we deliver a consistent and easy-to-navigate user experience. The patient kiosk solution streamlines the patient check-in process in the practice waiting room by enhancing communication between office staff and patients while keeping patients' trips to the front desk to a minimum.

Benefits - Our patient kiosk can immediately provide benefits to a practice by:

1. Reducing patient check-in time by 50%
Patients make fewer trips to the front desk. The administrative staff sees when a patient has checked in, knows how long they have been waiting and which physician the patient is seeing.

2. Decreasing staff time by >50%
Office staff do not need to spend time looking for the amount of a patient's co-pay, searching for insurance eligibility information, or entering patients' personal information into their system.

3. Aggregating eligibility data in one portal
Our portal displays multiple aspects of patients' eligibility data in one view making it easier for office staff to find the information they need quickly.

4. Improving cash flow
By immediately providing the amount of co-pay and co-insurance for which a patient is responsible, the office can collect payment at the time of visit instead of needing to bill for services at a later date.

5. Reducing data errors
Office staff are not responsible for entering in information with which they are not familiar; patients enter in their own information and are able to review and correct mistakes as necessary. Eligibility transactions are automatic rather than manual, which reduces the chance for human error.

6. Providing real-time identification of benefits
Practice administrative staff can immediately see what sort of insurance coverage a patient has, if it is active, what services are covered and the amount of a patient?s co-pay.

7. Reducing training for new staff
Workflow is streamlined because there is one main process office administrators need to learn. We train staff upon installation of the patient kiosk.

8. Protecting patient's privacy
The kiosk utilizes HIPAA-compliant standards. The transaction network has been designed with security as one of its highest priorities.
